Which method should I use to send a workflow?

Superdocu gives you three ways to open a workflow: the Test workflow button, a portal, and adding a workflow from a contact’s profile. Each one has its own purpose.

In short

  • You want to check your workflow: use Test workflow.
  • The person is not a contact yet: share a portal.
  • The person is already a contact: add the workflow from their profile. This is the recommended method.

Test workflow

The Test workflow button, at the top of a workflow page, opens it with a test contact in your name. You see exactly what your contacts will see.

  • Answers are erased at each new test.
  • The opened link gives access to this test contact: do not send it to anyone.

Share a portal

A portal is a public link, such as https://your-company.superdocu.com/p/portal-name, tied to a workflow. Copy it from the portal page, under Your portal, and share it wherever you like: website, email, QR code.

  • Anyone who opens the link can sign up. They become a contact and start the workflow.
  • You can filter sign-ups with a yes/no screening question.
  • If the email address entered already belongs to a contact, they receive a sign-in link by email instead of being registered twice.
  • The portal must be enabled to accept sign-ups.

Invite an existing contact

From a contact’s profile, click Add a workflow, choose the workflow, then click Invite contact to fill this workflow.

  • The contact receives an email with a personal sign-in link, valid for 7 days.
  • You decide exactly who receives which workflow.
  • To invite several contacts at once, select them in the contact list, then click Add to workflow.
