What is Superdocu?

Last updated on

Superdocu is a document and information collection platform for businesses. It replaces back-and-forth emails with a structured, automated process that guides your contacts through exactly what you need from them.

Who uses Superdocu?

Superdocu serves two types of users:

  • Clients — the businesses or teams using Superdocu to collect documents. They access their workspace at app.superdocu.com.
  • Contacts — the individuals asked to provide documents or fill in information. They access a dedicated space on your company’s subdomain (e.g. your-company.superdocu.com).

Superdocu is used across many industries: real estate, finance, HR, legal services, logistics, consulting, healthcare, and more.

Key concepts

Sequences

A sequence is a structured collection process you define. It is made up of ordered steps. Each step can contain:

  • Documents to submit — files your contacts must upload (ID, bank details, payslips, contracts, etc.)
  • Forms — fields your contacts must fill in (text, email, IBAN, date, country, dropdown, scale, star rating, etc.)
  • Information screens — instructions or messages displayed to your contacts before they proceed
  • DocuSign contracts — documents your contacts must review and sign electronically

Contacts progress through steps in order. They can only access the next step once the current one is complete and validated. Some sequences are repeatable: a contact can start multiple instances — one per file, mission, or project.

You can also add conditional logic to form fields: certain questions or documents only appear based on previous answers.

Contacts

A contact is a person you invite to complete a sequence. They receive a magic link by email — no password required. From their dedicated space, they can view their sequences, track their progress, and submit what is requested of them.

You can also share documents directly with contacts and receive documents back from them outside of a sequence.

See Inviting contacts to a sequence and How to update a contact.

Reminders

Each sequence can have an automated reminder template: emails sent to contacts when they have missing items to complete. You configure the sending frequency, the delay before the first reminder, and the maximum number of reminders. Reminders stop automatically once the sequence is complete.

Portals

A portal is a public or private self-service entry point linked to a sequence. Contacts can register themselves without being individually invited. You can add a screening question to filter who gets access, and customize the welcome and denial messages. See How to customize my portal.

Features

Document validation

When a contact submits a document, you can accept or reject it with a comment. Superdocu also includes automatic document validation to help you identify likely valid or invalid submissions before you review them manually.

Team management

Invite team members to your workspace and assign them roles with granular permissions: managing contacts, sequences, billing, integrations, portals, roles, and more.

Integrations

Depending on your plan, Superdocu connects with:

  • CRM systems: HubSpot, Salesforce, Pipedrive, Sellsy — sync contact lifecycle events automatically
  • DocuSign — request legally binding electronic signatures within a sequence step. See DocuSign integration guide.
  • Zapier — connect Superdocu to thousands of other tools. See Integrating with Zapier.
  • Webhooks — receive real-time event notifications in your own systems
  • REST API — build fully custom integrations

Custom branding

Add your logo, colors, favicon, and a custom domain. Your contacts experience a fully branded space. See How to use a custom domain with Superdocu.

Notifications and exports

Receive email notifications when contacts submit or update documents. Export your contact lists and their progress as CSV files. See E-mail notifications for your contacts.

Security

All documents and files are encrypted at rest. Contact emails are stored with blind indexing. Access is controlled via authenticated sessions and magic links — contacts never create a password. Your data is hosted in Europe. See Is my data safe?.
